Confirmation of entry
When you wish to confirm your entry, we will usually require payment of the price in full. If you cancel your booking with us, cancellation charges may apply to payment received by you (see below). You also agree to be bound by the terms of our Terms and Conditions. You and all party members must also take out personal liability and travel insurance as well as boat liability insurance when required either through us or independently to a given standard. The Contract will only exist between us when we have sent you our Confirmation Receipt inclusive of WCC registration number. Outstanding monies, deposits, balances, transfers, pound sterling. When bookings are taken more 96 days in advance of departure payment may be by way of a non-refundable deposit (see table below) followed by two equal payments made at monthly intervals from the date of the first one. All bookings made within the last 96 days are to be paid in full immediately. All payments have to reach WCC in clear funds (bank charges to be paid in full by competitors) for the full Pound Sterling amount as per price list, regardless the currency used in the country of origin (information given in Euro are purely for convenience).
Upon payment WCC will issue a Confirmation of Entry which will set out due balance (if any), which must must be paid before the start of the event.
If it is not paid in full prior to the start of competition, we reserve the right to treat your booking as cancelled, in which case cancellation charges of up to 100% may apply.
Making changes to your travel arrangements
In the event World Catfish Classic has provided you with any travel arrangements. If you wish to change any part of your booking after we have sent our Confirmation Receipt to you - we will do our best to help - provided that we are advised of such changes in writing, by the person who has signed the Booking Form at least 8 weeks before departure. In many cases, changes will not be possible, but if we can negotiate a change with our suppliers then there will be an amendment fee payable of £20 per person where changes are possible. If for serious reasons of health, the death of a close relative or for jury service you are prevented from proceeding with your travel arrangements, you may be able to transfer your booking to another person, provided that we are given reasonable notice in writing by the person who has signed the Booking Form - usually of at least 8 weeks before departure - and all suppliers of your travel arrangements also consent. If a transfer of booking is possible then an amendment fee of £20 is payable per person and both yourself and the person to whom the booking is transferred will each become liable together or separately to pay to us any balance due for the price and any cancellation or amendment fees of WCC or its suppliers. In certain circumstances, your insurance policy may cover you for some of the additional charges, which may arise.
Cancellation of entry & loss of deposit At the organiser's discretion entry fee paid by installments can be forfeited if full payment is not received in full within a four months period from the date of the first payment/booking being made and at the latest by the 1st of June 2010. Failure to the above could entail loss of deposit. Any registration made after the 1st June will only be confirmed on full payment of entry fee. Cancellation of your entry Should you or any member of your party cancel your booking, or part of it, then we must be notified in writing by the person who signed the Booking Form and the cancellation will take effect from the date when the written confirmation is received. There will then be a cancellation fee payable by you on the scale shown below (excluding any insurance premiums) which are shown as a percentage of the total tour price: Period of notification before departure DATE % of non-refundable deposit More than 189 days 25% 188 - 128 days 50% 127 - 97 days 75% 96 - 1 day 100% No show & on-site payments Entry in the event can only be granted if participants agree to pay any outstanding monies from previous events at the time of their registration including a £50 penalty per angler to cover incurred admin costs at the time of the event. Of course, full entry fee for the current year will have also to be paid in full. Refusal of entry by local authorities
Prior to registration taking place organisers are to receive local fishing bodies and venue black lists. Anyone who is entered into the competition but are showing on those lists will be refused entry in the event. Cancellation of entry will then apply.
Health, passports/visas and insurance
It is your responsibility to ensure that you and other members of your party obtain the right inoculations and medical advice before you travel. Similarly, it is your responsibility to ensure that you and your party have valid passports before the holiday commences. It is also important that your holiday insurance is adequate and covers matters such as the cost of cancellation and the cost of assistance, including repatriation, in the event of accident or illness. Cars and car insurance It is your responsibility to ensure that your vehicle is fully covered against mechanical breakdown, is in good condition and complies with your country of origin and French laws. You should check that your vehicle insurance covers you for driving in France or arrange a Green Card where appropriate. The Ferry Company reserves the right to refuse to carry vehicles in a dangerous or defective condition. Behaviour You are responsible for compliance with all relevant regulations governing carriage by air and your stay during your holiday. If in the opinion of WCC, its agents or suppliers your behaviour is disruptive or causing distress injury or danger to other clients, our staff or any third party, your holiday may be terminated and we will not be responsible for any costs or claims that are incurred. Cancellation of event In the unlikely event the competition is cancelled by the organizers, we reserve the right to re-schedule it at no extra cost to the competitors in the next following eight months. If World Catfish Classic then fails to organize the event within that time frame, competitors will receive full refunds. In the event the competition is cancelled caused by circumstances unforeseen to us and beyond our control, such as: war or threat of war, civil strife, industrial dispute, natural disaster, terrorist activity, or prevailing weather conditions, this also applies to any unexpected closure facility, organizers reserve themselves the right to apply a 10% management fee to all monies received. In any event World Catfish Classic will not cover any refund to third parties (ie: hotels, car ferry…..) as it is requested that all competitors have correct travel and personal insurances to which they should turn to make a claim. Insurance Having valid personal insurance cover for any member of your party including Team Runner and adequate travel insurance for all drivers is an obligation towards your entry in the competition. Proof of insurance will have to be supplied to us at the time of pre-event pack being received (4 to 8 weeks prior to the competition).Boat insurance are also required (more information to be found in the competitors pack). Theft and Damage Organisers cannot be deemed responsible for any theft or damage occurring during the event. Complaints We can normally agree to an amicable settlement of any complaints. We cannot entertain complaints made to us after the expiry of 28 days from prize giving ceremony, especially where you have not complained during the course the competition and have not given us the opportunity to investigate matters and to resolve any proper complaint. Cost of Entry into prize fund In 2009, £155 of every entry cost received relates to the pair’s share towards the cash prize fund the balance being their entry fee. Use of pictures by World Catfish Classic & associated partners Persons depicted in photographs taken in conjunction with the World Catfish Classic as Competitors, Team Runners, Sponsors, Media, Visitors, organiser’s team, host venue staff members will be used on a variety of marketing media by the organisers, media partners and sponsors for an indefinate period of time. These images are acquired in good faith and although efforts are made to obtain written permission to publish from the subjects depicted, this is not always feasible. For Competitors & Team Runners free use of pictures taken is a condition of entry. Use of pictures & logos by winners In some cases winners may want or be asked to endorse brands not involved at the time of their win. Conditions of use of the World Catfish Classic on visuals to be applied for directly with the event organisers. Claim of prizes Competitors have 180 days from prize giving to provide organisers with sufficient details to ensure they receive their prizes in full. After this time non-claimed prizes will only be handed out at organisers’ discretion. Cash prize winners may also choose to use their prize towards a partial or complete redemption on the following year’s entry fee. Winners have 90 days from prize giving to advise organisers should they wish to do so. Entry fee payment rules apply. Payment of cash prizes Arrangements for payment of all cash prizes will be made on-site following prize giving and payments will be made within 28 days of prize giving ceremony. 19/05/2010 Version:5 |
